Facility Use Guidelines

GENERAL INFORMATION

The Valley Community Center is intended to serve the greater Des Moines area as a “hub for partnerships doing good for the community…with the community.” It is our intent to maximize the use of the building and provide an excellent meeting space for a variety of activities. Please review this document and contact the Community Center staff at info@valleycommunitycenterdm.com if you have further questions regarding the use of the facility.

AVAILABILITY

Community groups, non-profits, businesses, and individuals can request a reservation at the Community Center. Highest priority will be given to community betterment organizations that positively impact the most members of the community. 

Businesses and private individuals may request a reservation for family, social, or non-commercial events (no sales of goods or services) on a space-available basis up to 60 days prior to the date requested. Reservation requests may be granted or denied at the sole discretion of the Community Center without explanation.

ROOMS AVAILABLE TO RENT

  • Event Hall: This area can be utilized as either meeting space or sports courts.

    • Meeting Space: The 16,000 square-foot Event Hall can accommodate groups from 200 – 1200. Both theater style and banquet seating is available. Catering is allowed with prior approval.

    • Sport Courts: The Event Hall holds two regulation-sized basketball courts which can be converted into four smaller “cross-courts.” Also available are up to four volleyball courts. Non-scuffing shoes are required and court shoes are recommended for the safety of the users and the protection of the floors.

  • Conference Room: A private conference room is available adjacent to the Maplenol Café. Seating for up to 35 is provided in either theater or conference style (eight foot tables). Projection and sound equipment are available. (Additional fees apply.)

  • Hideaway Meeting Room: This area provides a casual meeting space for up to 15 people with bistro tables and several TVs which can be used for DVD viewing or laptop presentations.

  • Maplenol Café: The café (general atrium) area is available on a limited basis outside of normal business hours. The area features a large fireplace with couch and chairs as well as 30 (3’ x 3’) square café tables with 120 chairs.

  • Children’s Play Area: The play area is designed for toddlers through age 8. It is available for private use with the rental of the Maplenol Café. (Additional fees apply.)

  • Kitchen: Use of the kitchen facilities is limited to those with a retail food license (i.e., catering business) and renting the Maplenol Café.

  • Sports Fields: Field rental available on a limited basis.

FACILITY USE GUIDELINES

General

  • To provide a family-friendly environment, no alcoholic beverages or tobacco products are permitted on the Community Center property.

  • Pets (other than service animals) and recreational devices (including in-line skates, roller skates, skateboards, bicycles, and tricycles) are prohibited in the Community Center.

  • Valley Community Center will not be responsible for lost, misplaced, or stolen items.

  • Selling of any goods or services on the Community Center property is prohibited without prior written approval from the Director.

  • All activities must be appropriate to the facility’s intended use. When in doubt, please inquire prior to requesting a reservation.

Liability

  • User assumes all liability for damages caused by their guests.

Food Related

  • Please report any beverage or food spills immediately to the facilities staff. This includes spills on the carpet if covering the hardwood floor.

  • No liquids allowed on the hardwood courts. Violation of this rule may prevent further use by individuals or groups.

Room Equipment and Set-up

  • Included in the rental fee is use of up to 200 folding chairs. In the event additional chairs or tables are required, the user must arrange for outside rental.

  • Basic set-up, tear-down, and clean-up are provided with the standard rental fee. Special requests or events requiring extensive clean-up may incur additional custodial fees and will be specified in the Rental Agreement.

Decorations

  • All decorations must be free-standing or table top. Attachment to walls, windows, door, etc. is not permitted.

  • Paints, glues, adhesives, flammable liquids, or open flames are not permitted. (Birthday Candles lit on a cake are permitted)

  • Glitter and confetti decorations of any type is prohibited.

  • Helium balloons are prohibited.

Audio/Visual Equipment

  • Please note on the Facility Use Request Form if you will need audio/visual technical support.

  • Audio/visual requests will be priced separately by our tech team. If a cost quote is needed, we’ll be happy to provide one after the application is received.

  • Some events may require use of outside vendor equipment and support. The tech team will make recommendations; the user assumes all responsibility for contracting with all third-party vendors.
